How to create accessible PDFs in Microsoft Word

It is possible to create an accessible PDF from a Word document as long as the document does not include math or chemical equations.

To convert from Word to PDF:

  1. Ensure the Word document is accessible. Run the Accessibility Checker as a final step.
  2. From the file menu, click “Save As” and choose where the file is saved
  3. Select .pdf from the file types.
  4. Click Options, then make sure "Document structure tags for accessiblity" is checked.
  5. Note: if using a Mac, ensure the “Best for electronic distribution and accessibility” toggle is selected.
  6. Note: never use the “export as PDF” button – this does not produce an accessible copy.
